WellMindsMD does not process insurance claims or handle insurance billing. For eligible patients, Headway manages benefit estimates, claims processing, and billing.

How It Works
Eligible Plans Through Headway
Patients with eligible Aetna, Regence, or Premera plans may be able to use insurance benefits through Headway. Headway — not WellMindsMD — determines eligibility and handles claims processing and insurance billing.
Estimate Your Cost
Coverage varies by plan. Use Headway’s cost estimator to check eligibility and receive an estimated out-of-pocket cost before scheduling. WellMindsMD cannot verify or guarantee insurance benefits.
Payment
- Headway handles insurance claims, patient billing, and payment for visits using eligible benefits
- Your responsibility depends on your plan — typically a copay or coinsurance after your deductible
- You are responsible for all charges regardless of insurance coverage
Other Insurance Plans
If you have a different insurance plan, appointments are billed as private pay and we provide superbills upon request so you can seek out-of-network reimbursement. See our private pay pricing for details.
Insured Patient Policies
Cancellations & Missed Appointments
Cancellations must be made at least 1 full business day in advance (Monday through Friday, excluding holidays). For appointments covered by insurance through Headway, late cancellations and missed appointments incur a $200 cancellation fee, which is not billable to insurance.
Phone Calls & Administrative Work
Calls outside appointments exceeding 10 minutes are billed at $450/hour (prorated); brief calls under 10 minutes are complimentary. Administrative work exceeding 10 minutes — including forms, letters, medical record requests, and prior authorizations — is billed at $400/hour in 15-minute increments. These services are not billable to insurance; we always provide a time estimate and seek your approval first.
